The New Mexico Chapter of the International Association of Arson Investigators (“NMIAAI,” “Chapter,” “we,” “us,” or “our”) respects your privacy and is committed to responsibly handling the personal information entrusted to us.
This Privacy Policy explains how NMIAAI may collect, use, retain, disclose, and protect information when you visit iaai-nm.org, submit a form, apply for membership, register for an event, make a payment, communicate with the Chapter, or otherwise interact with our website and online services.
By using the website or providing personal information to NMIAAI, you acknowledge the practices described in this Privacy Policy.
1. Scope of This Policy
This Privacy Policy applies to information collected through:
The NMIAAI website;
Online membership applications;
Event and training registration forms;

This Policy does not govern websites, services, or systems operated independently by the International Association of Arson Investigators, CFITrainer.Net, social-media platforms, payment processors, event venues, hotels, government agencies, certification organizations, or other third parties.

The information NMIAAI collects depends on how you interact with the Chapter and the website.
A. Information You Provide Directly

NMIAAI generally does not directly receive or store complete credit-card or bank-account numbers when payments are processed through a third-party provider.

NMIAAI will not use personal information in a manner materially inconsistent with the purpose for which it was collected without providing appropriate notice or obtaining consent when required.
4. Membership Information
Information submitted through a membership application may be reviewed by Chapter officers, board members, membership personnel, or authorized service providers involved in processing or administering membership.
Membership records may include:

Membership category;
Dues status;
IAAI affiliation;
Committee participation;
Attendance or voting eligibility;
Professional affiliation; and
Other information required under the NMIAAI bylaws or policies.
Certain limited membership information may be shared with IAAI when necessary to verify chapter affiliation, coordinate dual membership, administer benefits, or maintain organizational records.
Membership information will not automatically be published publicly unless publication is authorized, reasonably expected as part of a Chapter role, or required by governing documents or law.
5. Event and Training Information
Information collected for conferences, meetings, or training may be used to:

Participant names, agencies, professional titles, or affiliations may appear on event rosters, name badges, seating materials, certificates, programs, or similar event documents when reasonably necessary.
NMIAAI will not intentionally publish sensitive accommodation, payment, or emergency-contact information.
6. Photographs, Video, and Recordings
NMIAAI may photograph or record meetings, conferences, training sessions, award ceremonies, presentations, and other Chapter events.
Photographs, video, audio, or other recordings may be used for:
Chapter historical records;
The NMIAAI website;
Social-media pages;
Newsletters;
Event promotion;
Training announcements;
Reports;
Award recognition; and
Other legitimate Chapter communications.
When appropriate, NMIAAI may provide event notices, media releases, or consent forms explaining how recordings may be used.
Individuals who do not wish to be photographed or recorded should notify an NMIAAI representative before or during the event. NMIAAI will make reasonable efforts to honor such requests but cannot guarantee exclusion from incidental crowd images, photographs taken by third parties, livestreams, or material already distributed.
Requests concerning a specific photograph or recording may be submitted using the contact information provided below.
7. Email and Other Communications
NMIAAI may use the contact information you provide to send:
Membership notices;
Dues reminders;
Election or meeting notices;
Event confirmations;
Schedule changes;
Training announcements;
Chapter news;
Professional-development opportunities;
Surveys or evaluations;
Administrative communications; and
Other information related to Chapter activities.
Transactional and administrative communications may be necessary to administer membership, registrations, payments, or Chapter business.
You may unsubscribe from nonessential promotional email by using an unsubscribe link when available or by contacting NMIAAI.
Unsubscribing from promotional messages may not stop necessary communications concerning an active membership, pending payment, event registration, governance matter, safety issue, or other existing relationship with the Chapter.
8. When We May Share Information
NMIAAI does not sell personal information.
NMIAAI may disclose information in the following circumstances:

B. International Association of Arson Investigators

Information submitted directly to IAAI is governed by IAAI’s privacy practices.

Limited information may be shared with instructors, venues, hotels, sponsors, exhibitors, caterers, certification organizations, or event partners when reasonably necessary to administer an event.
NMIAAI does not intend to provide attendee contact lists to sponsors or vendors for unrelated marketing unless attendees are given notice and an appropriate choice.

NMIAAI may disclose information when reasonably believed necessary to:
Comply with a subpoena, court order, law, regulation, audit, or lawful governmental request;

Do not submit information for public posting that you do not want publicly available.
10. Sensitive and Investigative Information
The website is not designed to receive evidence, criminal-justice information, active investigative files, protected intelligence information, medical records, victim information, privileged material, classified information, controlled unclassified information, or other highly sensitive records.
Users should not submit such information through general contact, membership, registration, or website forms.
If sensitive information is submitted without authorization, NMIAAI may delete it, restrict access to it, or refer the sender to a more appropriate organization or communication method.
NMIAAI does not guarantee that general website forms or ordinary email satisfy Criminal Justice Information Services requirements, agency security policies, evidentiary standards, confidentiality requirements, or other specialized information-security rules.
11. Data Retention
NMIAAI retains information for as long as reasonably necessary to:
Administer membership;
Conduct events and training;
Maintain financial and tax records;
Comply with legal or regulatory obligations;
Preserve governance and historical records;
Resolve disputes;
Enforce agreements;
Maintain proof of attendance or payment;
Protect the Chapter’s legal and operational interests; and
Fulfill the purpose for which the information was collected.
Retention periods may vary depending on the type of record.
For example:
Financial and transaction records may be retained according to tax, audit, or accounting requirements;
Membership records may be maintained during membership and for a reasonable period afterward;
Attendance and training records may be maintained to verify participation or certificate issuance;
Governance records may be retained permanently as part of the Chapter’s institutional history; and
Technical logs may be retained for shorter periods unless needed for security or investigation.
Information may remain in routine backups for a period after deletion from active systems.

NMIAAI uses reasonable administrative, technical, and organizational measures intended to protect information from unauthorized access, loss, misuse, alteration, or disclosure.

Using reputable website, hosting, email, payment, and cloud-service providers;
Maintaining account and password controls;

No website, email system, storage system, or internet transmission is completely secure. NMIAAI cannot guarantee absolute security.

NMIAAI may operate pages or accounts on third-party social-media platforms.
Information you post, message, react to, or share through those platforms is subject to the platform’s privacy policy and may be visible to the public or other users.
NMIAAI may receive limited profile or engagement information from a social-media platform, such as your public username, comments, reactions, or messages.
Do not use social media to submit evidence, protected case information, confidential personnel information, or urgent requests.
15. Children’s Privacy
The website and NMIAAI’s general services are intended primarily for adults and professionals involved in fire investigation, public safety, insurance, engineering, legal services, education, and related fields.
NMIAAI does not knowingly collect personal information online from children under 13 without appropriate authorization.
A parent or legal guardian who believes a child has submitted personal information to NMIAAI should contact the Chapter so the information can be reviewed and, when appropriate, deleted.

Depending on the circumstances and applicable law, you may request that NMIAAI:

Remove information from an optional mailing list;

Deletion of membership or attendance records may affect the Chapter’s ability to verify membership status, payment, attendance, training completion, or eligibility.
17. State Privacy Rights
Privacy rights vary by jurisdiction.
NMIAAI will respond to legally valid privacy requests in accordance with applicable law. Nothing in this Privacy Policy is intended to create rights beyond those provided by law or a written agreement.
NMIAAI does not sell personal information or use personal information for cross-context behavioral advertising as those terms may be defined under certain state privacy laws.
18. Do Not Track Signals
Some browsers provide “Do Not Track” or similar privacy signals.
Because there is not a universally accepted technical standard for all such signals, the website may not respond to every browser-based Do Not Track request.
NMIAAI will comply with legally required browser or device-based privacy signals when applicable to the Chapter and its website technologies.

If NMIAAI becomes aware of a security incident affecting personal information, the Chapter will evaluate the incident and take reasonable steps to contain, investigate, and address it.

Continued use of the website after an updated Policy is posted acknowledges the revised practices.
